ACG - Association des Communes Genevoises (Geneva Municipalities Association)

The Geneva Municipalities Association (ACG) represents the interests of municipalities with regard to governments and private entities. Furthermore, ACG provides strategic and financial steering for intercommunity groups active at the Cantonal level, including the Intermunicipal IT service (SIACG) and the Intermunicipal extracurricular activities group (GIAP). Each of these organizations has set up its own ISO 9001-certified quality management system.

As time went by, we realized that we should join forces, and acquire a joint ISO 9001 certification. This required us to adopt a single quality system, preferably one more practical and user friendly than those set up in our individual organizations. Indeed, paper systems were very cumbersome to manage in terms of updating and filing. So we decided to purchase a software program.

We chose Optimiso for its ease of use, flexibility, and effectiveness. With its user-friendly web interface and effective search tool, it lets all our collaborators consult all quality documentation very easily: processes, procedures, forms, regulations, directives, job descriptions, indicators, etc.

Once the choice was made, things progressed fairly quickly. We provided Optimiso with our three quality systems (paper or CD) so that they could transfer all the data into the program. Centralizing the diverse processes and procedures let us identify a few discrepancies, such as different procedures on the same subject.

It just took a few meetings to make the necessary adjustments, and then we were trained in how to use the program, so that we could manage our documentation ourselves.

What are the benefits of the Optimiso program?
We use less paper, and above all we have gained precious time for updating documentation, for sharing it with employees, and filing it. It’s a real relief.
Version management is simplified, and employees know they will always be able to find the latest version of a document.
The program provides a cross-sectional view of activities; roles are clearly defined for all three organizations, which greatly facilitates establishing points of contact: the “who does what, how, and when.”
The module for improvements, suggestions, and requests is particularly appreciated by our employees.

Lastly, to sum up, we would say that working with Optimiso has gone very well (very good responsiveness and very accessible software training) and we are really satisfied with the program, which is an indispensible tool we appreciate every day.

We have been working with Optimiso for ten years now, starting with the first version of the Optimiso software.
It was fairly cumbersome to describe our organizational system. We manage over 100 procedures and 400 form letters on paper, with the challenge of updating them constantly.
The intranet version of the Optimiso program was appreciated and it enabled us to switch from the filing cabinet to a user friendly, accessible intranet site.
Employees easily took over the system because of its simple and intuitive navigation based on the logic of internet browsing. They are identified on the site with their own personal page.
